Whether you love the store-bought pads or the printable versions you can use over and over, these little squares pull their weight. In this post, I’m going to share with you how I use them, how to print them, where I keep them, and a few tips that make them even easier to work with.
Why Sticky Notes Work So Well in a Planner
I like sticky notes because they don't lock you in. If you’re mapping out your week and your plans keep shifting, you don’t have to rewrite anything, you just move the sticky note, and you’re done.
They’re perfect for:
- tasks and appointments that might get changed
- reminders you don’t want to permanently keep on your page
- little ideas that pop into your head
- notes you know you’ll toss when you’re finished
They also make your layouts more fun. Add a few sticky notes to a weekly spread (with a pop of color) and everything feels a little more alive and less rigid.
One of the reasons I create so many printable sticky notes is because I love the freedom of printing exactly what I need. No saving the last three from a pad I really like. No rationing. If I want twenty of one design, I print twenty. If I want just one, I print one.
You Don’t Have to Print Directly Onto Sticky Notes
This surprises a lot of people. I don’t always print on sticky notes. Many times I print the design on plain paper, cut it out, and:
- tuck it in a pocket
- washi it into a layout
- clip it to a dashboard
- move it around as needed
- use it as a note I can toss guilt-free (because I can print more!)
They work the same way, and sometimes it’s even easier without adhesive backing.
Printing Sticky Notes the Easy Way
The simplest method is the best: Print one alignment sheet and keep it.
Use it every time. You don’t need to reprint it unless it gets wrinkled or something spills on it.
- Print the alignment page once.
- Place your blank sticky notes inside the squares.
- Run the sheet through your printer.
- Peel the notes off.
- Store the sticky notes separately.
- Keep your alignment sheet flat and reuse it.
And just to be clear: don’t leave the printed sticky notes stuck to the alignment sheet. Peel them off. The sheet is only for printing.
A Helpful Tip About Adhesive
This is one of those little things you don’t realize until you run into problems. Use brand-name Post-it® Notes when you can.
Printable sticky notes go through a lot of wear and tear:
- they stick down
- they get printed on
- they’re peeled off
- they’re restacked
- and then peeled apart again later
Cheap sticky notes don’t survive all that. Corners curl. Adhesive break down. Notes fall off your pages. Post-it® brand just handles the process better (just my opinion - they're not paying me). If you print regularly, the difference shows quickly.
How I Use Sticky Notes in My Planner
- Rolling To-Dos - Tasks that need to happen “sometime this week” but not necessarily on a specific day.
- Pre-Planning - When I’m sketching out ideas but don’t want to commit them to the page yet.
- Project Breakdowns - One step per sticky note so I can rearrange them until the order makes sense.
- Quick Notes - Random thoughts, numbers, reminders—anything small that pops into my head.
- Decorative or Functional Layers - Printable sticky notes give structure and personality without cluttering the page permanently.
How I Store My Sticky Notes
Here are the storage methods that actually work:
1. Lightly Restacked - Peel them off the printing sheet and lightly stack them like a little pad.
2. Laminated Dashboard - Stick them on a laminated card and keep it right in your planner.
3. Clear Pocket Sleeves - Trading-card pockets, coin sleeves, or 4×6 pockets are perfect for storing printed sticky notes.
4. Small Accordion File - Great for lots of different designs or sizes.
5. Desk Tray - Keep your most-used notes within easy reach.
No Guilt Required
Sticky notes are meant to be temporary. Use them, toss them when you’re done, and print more. That freedom takes a lot of pressure out of planning and keeps everything flexible.
